Network (LAN) Drive Storage Policy

Purpose:

The Administrative Local Area Network (a.k.a. the Admin LAN) provides three (3) major network drives for use by faculty, staff and departments to facilitate the workflow of our community. These are the F, G, and H drives respectively. These provide a large pool of private and shared space that is secure (you must login to access them) and they are backed up daily. This document will address the proper use for these network drives.

F Drive – The F (or Home) Drive is personal network drive space. Disk space on this drive can be used for storing private or personal work related documents. By default, each network user is assigned space on this drive. This space is restricted to only the user assigned to it. In some cases, it may be a good idea to store the original copy of a document here before copying it to a more public place (the G: or H: drive).

While it is true that the network’s “F” drive is your personal storage space, and you have the right to assume a ‘reasonable level’ of privacy, there are some instances where access to your “F” drive maybe granted to a supervisor. The three instances when this may take place are:

* When changing departments.
* Upon leaving/being terminated from the college.
* When you are away for an extended period of time and there is something there that the department needs.

G Drive – The G (or Department) Drive, is just that…department drive space. This drive can be used for departmental and interdepartmental collaboration. This drive is restricted to faculty/staff and those users that have been given permission to view these folders (i.e. student workers). Departmental space is restricted to members of that particular department. Folders and subfolders within departmental space can be further restricted to certain users.

H Drive – The H (or Campus) Drive, is a public drive area that the university’s faculty and staff can place information that should be shared with the entire university staff. A word of caution…since this is a public drive, anyone that has access to the Admin LAN, with the exception of student workers, can read and edit any information placed on this drive.

Policy:

1. Do not use network storage to make a backup of your entire desktop computer (e.g. your C: drive). You can, however, use it to hold a backup copy of you documents, etc.
2. Information that is archival in nature should not be store on the network drives. It should be either copied to CD or DVD media.
3. Do not save personal items (i.e. pictures, videos, music, etc.) on any of the network drives.

Some Special cases – we ask that you use the information below as a guideline on moving or removing information off of your personal “F” drive, to avoid being placed in an uncomfortable situation:

Changing Departments:

When you are changing departments, if you have anything located on your personal “F” drive, we ask that before you change departments, you create a folder with your name, on your department’s drive ( the “G” drive), and transfer that information into it.

Leaving the College:
